The Hispanic Contractors of Colorado, herein referred to as HCC, is a 501(c)(6) non-profit, member-driven organization dedicated to supporting the growth and success of small and medium-sized construction businesses. We focus on providing our members with a comprehensive range of benefits, resources, and support to enhance their business development and ensure their long-term retention and success within the industry.

Job Overview:

We are seeking a motivated and detail-oriented Membership/Operations Coordinator to join our team reporting directly to the President/CEO. This role is pivotal in developing and implementing strategies aimed at increasing member retention and engagement, including organizing member events and attending HCC Committee meetings. The successful candidate will be responsible for welcoming new members, assisting with business development tasks, managing office operations, supporting committee and Board of Directors (BOD) meetings, providing overall office support, and organizing member events. This role requires excellent organizational, communication, and interpersonal skills, as well as the ability to represent HCC effectively at various events.

Key Responsibilities:

Membership Welcome & Retention

    • Develop, and execute a comprehensive plan to highlight the benefits, resources, and support available to small and medium-sized construction businesses within HCC, aiming to boost member recruitment and retention. This plan should provide a clear vision of what HCC’s offers to foster long-term commitment among the membership base.
    • Create and distribute welcome kits for new members.
    • Organize orientation meetings for new members to familiarize them with HCC benefits and services.
    • Assist with business development tasks, including sending introductory emails to prospective members, coordinating their attendance at HCC events, explaining membership levels and benefits, and collecting necessary information for new member marketing announcements.


Organizing Member Events

    • Take the lead in organizing member events, including securing venues, arranging speakers/topics that will benefit the membership, and creating slide shows for every monthly membership event.
    • Secure catering and beverages in accordance with the approved budget.
    • Ensure event venues are “event ready,” with adequate seating for guests, proper signage, and the distribution of invitations.
    • Coordinating creation of collateral to support these events, enhancing member engagement and attracting prospective members.


Office Management

    • Overseeing financial operations, such as AP/AR and Dues Collection.
    • Maintain inventory of office supplies and coordinate the maintenance of office equipment.
    • Secure venues for committee and BOD meetings, including arranging for meals and managing AV setup.
    • Handle inbound phone calls, visitor reception, and correspondence distribution.


Committee & BOD Support

    • Lead the annual budgeting and planning process, including Strategic Planning Retreat, calendaring of BOD meetings and agenda topics, etc.
    • Attend monthly committee and BOD meetings, providing administrative support such as sending reminders, distributing last meeting minutes, starting and recording virtual meetings, coordinating agendas, and distributing meeting minutes.
    • Represent HCC at external events, including exhibitions and speaking engagements.
    • Maintain an organized electronic filing system on Teams.
    • Coordinate reminders communications regarding upcoming meetings and events.
    • Prepare written responses to routine inquiries.


Qualifications:

  • Bachelor’s degree in business administration, Communications, or a related field.
  • Proven experience in membership coordination or similar role, preferably within a non-profit or member-driven organization.
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite and familiar with electronic filing systems.
  • Experience in event planning and management.
  • Ability to work independently and as part of a team.
  • Willingness to attend events outside of standard office hours.

Working Conditions:

  • M/OC shall work a standard work week, but additionally will work some evenings, some weekends and all hours required to accommodate such activities as required to meet the expectations of the BOD.
  • Work location is in person with an hybrid option
  • Work is generally performed in an indoor environment, with occasional field work outdoors.
  • M/OC will be provided with facilities and equipment consistent with the position and adequate for the performance of the above duties.
